Job Description Job Description Jenny Bour with Robert Half is partnering with a Construction company that is looking for an experienced Office Manager to lead administrative and financial operations at their Tonawanda, New York office. In this Office Manager role, you will oversee office workflows, manage accounting processes, and ensure efficient day-to-day operations. This Office Manager position requires someone who is detail-oriented, possesses strong organizational skills, and has a background in bookkeeping or accounting. Responsibilities: Supervise daily office operations to maintain an organized and productive environment. Manage office supplies, equipment, and relationships with external vendors. Oversee scheduling and deadlines related to financial tasks and accounting workflows. Handle billing, invoicing, accounts receivable, and collections processes. Track expenses and support budgeting, financial reporting, and documentation. Maintain accurate records and files, both digitally and physically, ensuring easy access and compliance. Prepare and reconcile accounts, journal entries, general ledger updates, and financial reports. Perform banking tasks, including check writing and positive pay procedures. Ensure adherence to company policies, confidentiality standards, and accounting regulations. Support audit preparation, regulatory filings, and contract maintenance for both clients and the company. Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field preferred. At least 3–5 years of experience in office management and/or bookkeeping roles. Familiarity with QuickBooks or NetSuite is highly advantageous. Proven knowledge of accounts payable, accounts receivable, and bank reconciliations. Experience working in accounting or detail-oriented services environments is preferred. Strong organizational skills with the ability to manage multiple tasks and deadlines. Understanding of construction accounting and documentation is a plus. Excellent communication skills to handle client correspondence and vendor interactions.
